DESCRIPTION – OFFICE ASSISTANT
Position: Office Assistant
Scope: Assist the Executive Director (ED) and
other senior staff in carrying out administrative duties in support of a
state-wide program to protect and expand civil liberties.
Primary
Duties:
1)
Office Administration - Routine office tasks, including the following:
2)
Communications – maintain and update website; create newsletters (paper and
electronic);
3)
Financial - make and record bank deposits; handle all accounts payable; work in
QuickBooks as arranged with the ED; troubleshoot accounts payable issues; handle
incoming receipts of money and pledges;
4)
Volunteers - Recruit, prepare tasks for and handle routine supervision of office
volunteers;
5)
Other Duties - As appropriate and assigned from time to time by
ED.
Qualifications: Professional, flexible, and independent
manner;
ability
to work well on many projects under pressure. A
demonstrated
commitment
to civil liberties and a general understanding of issues important to the
ACLU. Ability to maintain
confidence of sensitive information is essential.
Skills: Excellent writing skills; effective time
management and organizing skills.
Computer
literacy in word processing, data base management, spreadsheets and bookkeeping
software required. Create simple to
moderately complex written correspondence.
Must be familiar with Internet and website management, as well as with
email creation.
Education
and Experience: Two years of
college minimum with four years preferred. Two to three years in non-profit
office administration or comparable area strongly
preferred.
Hours
of Work: Full time - 40 hours a
week with occasional overtime as needed to meet deadlines. Schedule is flexible within range of
normal business hours.
